Booking rules that enforce themselves

Every club has the same arguments: the member who books every weekend, the one who never shows, the one who flies on a balance he hasn't paid in months. Write the rule once and the calendar says no — so a board member doesn't have to.

Minimum balance to book

A member behind on their bill can't reserve the plane until they pay up — in the app, with a card, in about a minute. The rule collects the money so the treasurer never has to.

Reservation caps

Set a maximum number of future reservations per member, and nobody wallpapers the calendar with holds while everyone else waits for a slot.

Advance windows

Decide how far out members can book. Weekends stay fair, and the schedule stops filling up three months before anyone knows their plans.

Late-cancel fees

No-shows and last-minute cancellations charge automatically to the member who caused them — with a stored payment method required to book, the fee actually gets paid.

Underneath it all: a shared calendar with double-booking prevention and maintenance blocks, plus iCal feeds so the schedule shows up where members already look.

The treasurer's job shrinks to reading a report. Everything between the flight and the money happens on its own.

  • Flights bill themselves. A member lands, enters Hobbs or tach time on their phone, and the charge posts to their balance at the club's rate — every flight logged is a flight billed.
  • Monthly dues run on schedule. Fixed contributions post to each member automatically, alongside their hourly charges, on one statement.
  • Members pay themselves. A negative balance gets settled in-app with Pay Balance, and the funds land in the club's account through Stripe.
  • Everyone sees their own number. Each member sees their own balance and history — the awkward money conversation stops being a conversation.

Do the per-member math

Coflyt Plus is $430 a year for the first aircraft and $100 a year for each additional one — with unlimited members on every Plus plan. Divide that across a real club roster and the software costs less than the coffee at the monthly meeting.

An 11-aircraft club with 120 members pays $1,430 a year. That's 99 cents per member per month — for scheduling, billing, payments, and maintenance tracking on the whole fleet.

Maintenance

No one drives out to a down plane

The worst club morning is a member arriving at the hangar to find the plane grounded — and nobody told them. In Coflyt, airworthiness lives next to the schedule, where every member can see it.

  • Squawks with photos and severity. A member spots a problem, files it from their phone, and marks it grounding if it is — the whole club knows in seconds.
  • 100-hour tracking that keeps up. Every flight logged counts down the 100-hour, the annual, and the oil change — due dates computed from hours, calendar time, and cycles.
  • ADs imported automatically. Applicable airworthiness directives flow into tracking on their own, so compliance doesn't depend on one member's browser bookmarks.

Flying club questions, answered

How many members can we have?

Unlimited. Coflyt Plus is priced per aircraft, not per seat — a 15-member club and a 150-member club pay the same. Every member gets their own login, their own balance, and the schedule on iPhone, Android, or the web.

How do we handle guests and renters?

Add them like any other member — seats are unlimited, so it costs the club nothing. Their flights bill to their own balance at your hourly rate, and your booking rules (stored payment method, minimum balance, advance window) apply to them the same as everyone else. Remove them when they move on.

What does the treasurer actually see?

Every member's balance, every flight billed automatically at Hobbs or tach, monthly dues charged on schedule, and payments arriving through Stripe. Members with a negative balance settle it themselves with Pay Balance — no chasing, no reminder emails, no shoebox of checks.

Can members see the schedule in their own calendar?

Yes — Coflyt publishes iCal feeds, so the club schedule shows up in Google Calendar, Apple Calendar, or Outlook alongside everything else in a member's life. Booking still happens in Coflyt, where double-booking prevention and maintenance blocks are enforced.
